We are currently seeking a detail-oriented and dynamic Executive Assistant to support our founder and CEO, Dave Spaulding, in managing his daily operations and travel arrangements. Dave’s activities include consulting, training, and conducting verifications of a firm or institution’s claim of compliance with an industry standard.
Key Responsibilities:
- Calendar Management: Efficiently manage and prioritize Dave Spaulding’s daily calendar, including scheduling in-person and Zoom meetings.
- Email Monitoring: The EA will be copied on many emails to Dave, and will be expected to respond, when appropriate [e.g., if he is travelling, and likely not able to respond in a timely manner] or remind Dave, if a request was made, and he didn’t reply quickly.
- Client Communication: Respond to client inquiries, ensuring timely communication and follow-up on any outstanding matters.
- Travel Coordination: Arrange domestic and international travel for Dave, including flights, rental car, hotel accommodations, ground transportation, and itinerary preparation. Research travel specifics, including visa requirements.
- Verification Preparation: Prepare materials for verifications, including client communication, document collection, ShareFile folder setup, and assembly of verification reports and assessment letters.
- Proposal Assembly: Support TSG’s sales team by assembling proposals and managing after-verification surveys, including follow-ups and tracking references.
- Spreadsheet Management: Maintain and update a Google Drive spreadsheet for scheduling and client management.
- Scheduling of Verifications: Communicate with clients to schedule their verifications and, when appropriate/necessary, communicate when changes are necessary to scheduled events.
- Training Support: Collaborate with team members to develop training class materials for training sessions.
- Invoicing and Accounting: Assist with invoicing for conferences and jobs, reconcile invoices, and provide backup support in QuickBooks as needed. Handle deposits and notify team members of transactions.
- Mail Management: Collect and scan important mail, send notifications of due bills, and manage returned mail, updating databases accordingly. Dave works remotely, and so needs mail forwarded to him weekly.
- Report Assistance: Provide report formatting and assembly support to verifiers and consultants using Word, PowerPoint, and PDF files.
- Support the Head of Administration (Linda Burk) as needed.
Qualifications:
- Proven experience as an executive assistant or in a similar senior administrative role.
- Exceptional organizational skills and attention to detail.
- Strong communication skills, both written and verbal.
- Proficiency in Microsoft Office Suite (Word, PowerPoint, Excel) and Google Drive. Ideally, familiarity with WordPerfect.
- Ability to manage multiple tasks and priorities effectively.
- Experience with QuickBooks is a plus.
- A proactive attitude with the ability to work independently and collaboratively.
